Start Small: The One-Task Rule

A practical way to choose the first AI workflow worth building: find one repeated manual task and finish the loop.

Most teams do not need a sweeping AI transformation program on day one. They need one useful system that earns trust.

The one-task rule is simple: choose a single task that is repeated often, has clear inputs and outputs, and currently drains attention from people who have better work to do.

What Makes A Good First Task

A strong first AI workflow usually has a few traits:

  • The task happens every week, ideally every day.
  • The input data is available and reasonably consistent.
  • A human can review the result quickly.
  • Success is easy to measure.
  • The workflow matters enough that people will actually use it.

Examples include intake triage, document classification, first-pass summarization, duplicate record detection, or extracting structured fields from recurring documents.

Avoid The Showcase Trap

The first project should not be chosen because it demos well. It should be chosen because it removes friction from a real workflow.

When an AI feature changes how work happens, the value is visible. When it merely answers questions in a side channel, it can become another tab nobody has time to open.

Finish The Loop

The most important question is not “Can the model do it?” It is “What happens next?”

Design the handoff, review state, failure path, and measurement from the beginning. A small workflow that reaches production is more valuable than a large prototype that never leaves the slide deck.
